How KONFEREX processes personal data collected through the marketing site, forms, and related journeys.

1. Data controller

The controller of personal data collected via the KONFEREX marketing site is KONFEREX. Contact: contact@konferex.com.

This policy covers the marketing website, contact and event-scoping forms, and processing related to demos and public certificate verification when initiated from this site.

2. Data we collect

Depending on the journey you use, we may collect:

  • Demo request form: name, professional email, organisation, phone, country, event type, profile, and message.
  • Event requirements form: organisation details, project-lead contact details, and logistical/technical event parameters.
  • Walk-in / CME check-in (when the module is used): declared identity (name, email, optional professional ID), attendance timestamps, and related consent.
  • Certificate verification portal: data entered to look up a certificate (identifier or verification element).
  • Technical browsing data: IP address, browser type, pages viewed, via analytics tools when enabled.
  • Online messaging / appointment booking (Chatwoot or equivalent): conversation content and contact details you provide.

3. Purposes and legal bases

Main purposes of processing:

  • Responding to commercial and technical enquiries (legitimate interest / pre-contractual steps).
  • Scoping and proposing a solution for your event (pre-contractual steps).
  • Operating, securing, and improving the website (legitimate interest).
  • Audience measurement when analytics tools are enabled (legitimate interest or consent, depending on configuration).
  • Issuing certificates and enabling verification when you use those services (contract performance / legal obligation as applicable).

4. Retention

Lead and form data are kept for as long as needed for commercial follow-up, then archived or deleted.

Technical security and log data are retained for a limited period consistent with those purposes.

Certificate and attendance data follow retention periods agreed with the event organiser and applicable obligations (including continuing medical education rules).

You may request earlier deletion within legal limits (see rights section).

5. Recipients and processors

Data is accessible to authorised KONFEREX staff. It may be processed by technical providers acting on our behalf, including:

  • Website hosting and delivery: Vercel.
  • Database and application backend: Supabase.
  • Transactional / notification email: Resend.
  • Editorial CMS: Sanity (marketing content).
  • Messaging / contact widget: Chatwoot (when enabled).
  • Audience measurement: Google Analytics (when tags are active on the site).

6. Transfers outside the EEA

Some providers (including Vercel, Google, and Sanity) may process data from countries outside the European Economic Area.

Where such transfers occur, they rely on appropriate safeguards (standard contractual clauses or equivalent mechanisms) implemented by those providers.

7. Your rights

Under the GDPR and applicable laws, you have rights of access, rectification, erasure, restriction, objection, and portability, subject to legal conditions.

To exercise them, write to contact@konferex.com with the subject of your request. You may also lodge a complaint with your supervisory authority (in France: CNIL).

8. Cookies and analytics

The site may use cookies or similar technologies for technical operation, audience measurement, and, where applicable, the messaging widget.

You can configure your browser to refuse some or all cookies. Some site features may then be limited.

When Google Analytics or an equivalent tool is active, browsing data may be collected in anonymised or pseudonymised form to understand site usage.
